What we do with the data you send in a quote request.

Who controls your data

The controller of your personal data is Motion Systems Michał Stanek, Miedziana 7, 55-003 Nadolice Wielkie, Poland, tax ID (NIP) 8862563627.

For anything about your personal data, write to rodo@motionsystems.eu or send a letter to our business address.

What data we collect

Only what you enter in the quote form or send us by email:

  • your full name,
  • your phone number or email address,
  • the quantity, material and your message,
  • the files you send: drawings, 3D models, photos. They may contain personal data, such as the designer's name in the title block of a drawing.

When you submit the form, the server also briefly remembers your IP address to limit the number of requests from one address. This protects the site against spam.

Why we process it and on what legal basis

  • Preparing a quote, answering your request and discussing it before an order: Art. 6(1)(b) GDPR (steps taken at your request before entering into a contract).
  • If you write on behalf of a company, contacting you about its request: our legitimate interest (Art. 6(1)(f) GDPR).
  • Fulfilling your order, if you place one: Art. 6(1)(b) GDPR. Invoices and accounting: a legal obligation (Art. 6(1)(c) GDPR).
  • Protecting the site against spam and abuse, and establishing, pursuing or defending legal claims: our legitimate interest (Art. 6(1)(f) GDPR).

We don't send ads or newsletters to the contact details you give us. We don't make automated decisions about you and don't profile you.

Do you have to give us your data

Giving us your data is voluntary. Without your name and a phone number or email, however, we can't prepare a quote, because we would have no way to reach you.

Who we share your data with

We don't sell your data or share it with other companies for their own purposes. Only companies that process it on our behalf, under a data processing agreement, have access to it: the provider of the server this site runs on and our email provider. Where the law requires it, we pass data on to the authorities entitled to it, such as the tax office.

We process your data in the European Economic Area and don't transfer it outside the EEA.

How long we keep your data

  • Your request and files, if no order follows: up to 12 months after our last contact, so we don't have to ask you for the same drawings next time. We'll delete them sooner if you ask.
  • If you place an order: for as long as it takes to fulfill it, then until any claims under it become time-barred. We keep invoices and accounting records for as long as tax law requires.
  • Your IP address for spam protection: only in the server's memory, for at most 15 minutes after your last request.
  • Server logs (IP address, time of connection): up to 30 days, for security purposes only.

Your rights

You have the right to:

  • access your data and get a copy of it,
  • have incorrect data corrected,
  • have your data erased or its processing restricted,
  • receive the data you gave us in a portable format,
  • object to processing based on our legitimate interest,
  • lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (uodo.gov.pl).

To exercise these rights, write to rodo@motionsystems.eu. We'll reply within one month at the latest.

Cookies and third-party services

This site doesn't set cookies and doesn't use any analytics or advertising tools. Fonts, photos, videos and the map preview load from our own server.

If you click “Enlarge map”, your browser starts loading map tiles from the OpenStreetMap servers, which will see your IP address. Until you click, the site doesn't connect to them.

Links to Google Maps, Facebook, LinkedIn and YouTube open those services only when you click them. From then on, the operator of that service processes your data under its own terms.

If we change how we process your data, we'll update this page. The date of the last change is at the top.
